Administration / Facilities Associate
Administration/Facilities Associate will be reporting to Global Real Estate & Facilities team at Xerox Services.
The duties will include:
- Supervising reception staff
- Preparing and monitoring Purchase Orders (PO) for the Lodz office (collection of orders, orders placing, monitoring etc.)
- Preparing admin related invoices for booking
- Contacting with suppliers - looking for new suppliers, checking conditions, negotiating better terms of contracts, solving issues (for example - cleaning company, building maintenance company, Security Company)
- Controlling fixed assets - projectors, cell phones, etc.
- Monitoring and controlling stationary stock
- Taking care of safety and health issues
- Monitoring and distributing badges and parking cards
- Supporting Social Fund and organizing company events (like Christmas party)
- Running all necessary reports and assisting with projects if needed
- Coordinating and managing BTOs (Business Travel Orders) of employees
- Assisting guests of Lodz office (transfers, hotels etc.) and preparing meeting space for visitors
We are looking for candidates with:
- Fluent English
- Good Knowledge of MS Office software
- Excellent organizational skills
- Excellent interpersonal skills
- Experience in similar position will be an asset
- Experience in SSC/BPO will be an asset
